A new solution for collecting client documents

FileInvite is a new service for securely, efficiciently and easily collecting important documents from clients, which brokers are finding particularly useful, according to founder James Sampson.  

In the below Q&A, Sampson explains how the service can save you time, stress and why they are gearing it to be one of the "essential tools in a broker’s workflow that they can’t live without." 

MPA: How can FileInvite save brokers time?
James Sampson: Typically the process of collecting supporting documentation from clients is a long winded one involving attachments across a long email chain of backwards and forwards, and a high degree of engagement between the broker and the client to ensure they get the right documents. FileInvite saves brokers time by automating this whole process, and making it easy for both the client and the broker to see exactly what documents have been supplied, and what is still due. The most common feedback coming through from brokers using FileInvite is that not only does it save them time chasing documentation, clients actually supply it significantly faster than they have done in the past.

MPA: What is the background for FileInvite; was it created with brokers in mind?
JS: FileInvite was initially developed by a New Zealand website design agency to collect information from their clients when designing websites. After building it as an in-house tool, it slashed the time obtaining files off clients, and reduced the effort required by the staff by up to 80%.  Since its launch to the general public, FileInvite has proven hugely popular in the mortgage brokerage sector, so much so that most of the new features planned for future development are specifically to cater for problems faced by mortgage brokers.
 
MPA: How can you ensure documents uploaded onto FileInvite are secure?
JS: When FileInvite was made available to the public as cloud software, it was completely rebuilt from the ground up using the latest in security and cloud technologies. It is run on Amazon AWS, reputed to be the most secure cloud hosting platform in the world, and uses a number of similar security technologies that banks use for their internet banking platforms. Whilst we can’t disclose all the security features we have employed, it is safe to say that sending files through FileInvite is many times more secure than using standard unencrypted email attachments to send files.
 
MPA: What makes FileInvite better than the various client relationship management systems already offered by aggregators?
JS: FileInvite is a completely unique solution. No other system around does what FileInvite does, and FileInvite does it very well. That being said, FileInvite is not a CRM, so shouldn’t replace your existing CRM, but should work alongside it. We are releasing new features all the time, and plan to release more integrations in the future to allow FileInvite to connect directly to a number of other CRM platforms, making it even easier to work alongside your existing CRM.
 
MPA: Will there be discounts or special products for larger brokerages?
JS: We are currently working on development of our team plan due for release in Q4 2015 which will make it easier for larger brokerages to manage multiple users within their organisation, and will improve collaboration between team members. We regularly have enquiries from large aggregators and brokerages interested in volume discounts, and customisations or white labelling. Depending on individual requirements we are happy to discuss enterprise plans on a case by case basis. We will always be committed to improvement and the addition of new features and adding value across all plan types.

MPA: How do you want FileInvite to be viewed by the industry 12 months from now?
JS: We want to be seen as one of the essential tools in a broker’s workflow that they can’t live without. Our main goal is to keep improving FileInvite to make it the best solution we possibly can for the problem of document collection. The more time we can save brokers, and the faster we can get clients returning their documents, the better. We love hearing feedback from our users, and many of the new features released have been a direct response to a problems faced by brokers, or feedback given by brokers. We have some exciting things planned over the next 12 months and beyond so watch this space!
